5 Reasons a Recruiter Didn’t Call at the Scheduled Time and What to Do About Them

Recruiters routinely organize calls with prospects to discuss their qualifications and see whether they would be a good fit for an open position. On rare occasions, a recruiter could forget to call you at the appointed time or be too busy. By understanding how to respond, you can keep your professionalism and receive another call from the recruiter. This article looks at several reasons why a recruiter might not have called at the scheduled time and offers advice on how to address the situation.  5 Reasons a Recruiter Didn’t Call at the Scheduled

the possible causes for a recruiter not calling at the scheduled time

Several reasons why a recruiter could not have contacted at the scheduled time are listed below:

1. They have other projects on the go.

Recruiters are responsible for finding candidates to fill unfilled vacancies at a company. Because they review applications, phone other applicants, and speak with hiring managers, they frequently have busy days. If these tasks take longer than usual to perform, they may prioritize doing them over your scheduled call.

2. Information is being gathered for your call.

When interacting with applicants on the phone, recruiters frequently refer to supporting documents. For instance, they can use your resume to showcase your qualifications or the company’s policies to define the workplace culture. If recruiters are busy, they might not have enough time to find and download these documents before the call. Many people would rather get in touch with you after a few minutes have passed so they may utilize that time to prepare for a productive call.

3. There was a typographical error.

Recruits could make administrative mistakes, especially during busy hiring times. They can fail to set a reminder for your call, for example, or they might enter the wrong time or day into their calendar. Incorrect phone numbers can also be entered by a recruiter.

4. You provided the wrong phone number to them.

Normally, recruiters would ask for your phone number and give you a call at the scheduled time. It’s possible that you provided your phone number with an incorrect spelling. To ensure the phone number you provided is correct, verify the email you provided to the recruiter.

5. A schedule clash

A recruiter might choose not to call you if a call that was urgently needed to be made, one that ran beyond its allocated time, or another scheduling issue occurred. A recruiter might also be rendered inaccessible by unforeseen events like an illness or a problem with a car.

How to proceed if a recruiter fails to contact you when they are meant to

The following procedures should be taken if a recruiter didn’t call at the specified time:

1. Double-check the meeting details.

You might wish to double-check the meeting’s parameters if the time for your call has already past. These details could be located in an email or on an item on the calendar. It is imperative that you confirm that you have the time and date correct if you and the recruiter are in different time zones. If you find out that the scheduled call is at a different time than you thought, you can adjust your schedule.

If you find out you missed the meeting, check your email for a note from the recruiter. They most likely emailed you to ask why you didn’t answer the call. In response, you can acknowledge your mistake, apologize, and ask for a new time for the call. If the recruiter hasn’t emailed you, you can use the same information to begin your own follow-up message.

2. Verify that the phone number you provided is accurate a second time.

Check the details of the meeting and see if the phone number you provided is correct. You must carefully examine the number to make sure there are no errors. If you discover a mistake, email the recruiter to let them know. You can send the correct number, apologize for the inconvenience, and then elaborate on your error in providing the incorrect number. A suggestion to adjourn the meeting or a statement that you are still available to speak should be made.

3. Specify the grace period

If you have verified that the timing is accurate and the recruiter has the correct contact information, you might choose to introduce a grace period. A grace period is the amount of time you give the recruiter to call you before following up with an email. For instance, if the call was scheduled for 1 p.m., you might give the recruiter 15 minutes to reach you. To make sure the call is still ongoing at 1:15 PM, you could send a follow-up email.

4. Go through your mails.

As soon as the grace time is ended, think about checking your email. If the recruiter discovered they missed the call, they might inform you. A message typically contains an apology, an explanation of their absence, and a request to reschedule the call. Consider giving them a considerate response in which you thank them for their honesty and acknowledge that you are aware of their busy schedule. Make sure the time and day they propose work for you, or let them know when you’re available so they can find an other time and date that’s convenient for both of you.

5. Send a follow-up email

If the recruiter doesn’t reply to your email, think about sending your own follow-up note. You can clarify the time and date while asking the recruiter if they have enough time to complete the scheduled call. You might also let them know how much longer you’ll be available and ask if they’d like to reschedule. Try to maintain your nice demeanor so that others can see that you are tolerant and understanding. Recruiters usually view these qualities as desirable for a range of occupations, and they will likely keep them in mind as they try to place you in a position.

When you send the follow-up email, be on the lookout for a timely response. If they are available to speak, they might call immediately away. You can assure a suitable time and day if they ask to reschedule. Try to be patient if you don’t hear back from your follow-up email immediately away. The next day, you can send a second follow-up email to emphasize that you respect their busy schedule and that you want to conclude the call.

Example of what to say when a recruiter doesn’t call at the time they said they would

Here is an example of what to say when a recruiter doesn’t call at the time they said they would:

Dear [Name of Recruiter],

I appreciate you setting up a call with me for [Time of Scheduled Call] today, and I’m writing to make sure we can still speak. I am available until [Insert the time you are available until], however if this is not an acceptable time, I am happy to reschedule. I am eager to speak with you.

I’m grateful.
